Who we are

TRIPPLANNERS is a travel agency based at C/o Officewaale, A1/19B, First Floor, Paschim Vihar, New Delhi 110063, India. For this policy, we are the "data fiduciary" for the personal data described below. You can reach us at info@tripplanners.co.in or 011 4550 0000.

What we collect

We collect only what we need to answer your enquiry and arrange your travel:

• Enquiries: your name, email address, mobile number, city, the destinations, dates, travellers, budget and occasion you tell us about, any notes you add, your preferred language for a call, and whether you asked us to call you back.
• Calls and messages: if you ask for a call-back, our phone assistant (including an AI voice assistant) may call you; we keep a recording or transcript and a short summary of what you asked for. If you message us on WhatsApp or email, we keep those messages.
• Bookings: names of each traveller as on their passport, dates of birth, and, for international travel where airlines or immigration require it, passport number, expiry date, issuing country and nationality. We also keep your contact details and booking history.
• Visa assistance: the documents you choose to give us for a visa application, such as passport copies, photographs, bank statements or employment letters.
• Payments: we receive confirmation of payments. We do not store full card numbers on this website.
• Technical data: our hosting provider keeps standard server logs, such as IP address, browser type and pages requested, for security and to keep the site running. We do not use advertising or analytics cookies.

Why we use it

We use your personal data, with your consent or where needed to provide a service you asked for, to:

• reply to your enquiry and send you a proposal
• call or message you about your trip, in English or Hindi as you prefer
• make and manage bookings with airlines, hotels, transport and other suppliers
• apply for visas and travel insurance on your behalf
• send confirmations, tickets, invoices and important travel updates
• keep records required by law, including tax and accounting records
• prevent fraud and keep our systems secure

Who we share it with

We share only what each party needs:

• Travel suppliers who deliver your trip: airlines, hotels, transport and activity providers, cruise lines, and the fare and booking platforms we use to reach them.
• Visa centres, embassies and insurers, when you ask us to apply on your behalf.
• Service providers who help us run the business: website hosting, email delivery, WhatsApp business messaging, our voice call assistant, and the spreadsheet we use to track enquiries. They process data on our instructions.
• Government authorities, where the law requires it.

Data outside India

Some of our service providers and travel suppliers store or process data outside India, for example in the country you are travelling to. Where we transfer data abroad, we do so only as permitted under Indian law.

How long we keep it

We keep enquiry data for as long as it is useful to help you plan, and then delete or anonymise it. Booking, invoice and tax records are kept for the periods Indian law requires. Call recordings and transcripts are kept only as long as we need them to follow up on your request. Passport and visa documents are deleted once the trip or application they were collected for is complete, unless the law requires us to keep them.

Your rights

You can ask us to tell you what personal data we hold about you, correct or update it, or erase it where we no longer need it. You can withdraw your consent at any time; this does not affect anything already done. You can also nominate someone to exercise these rights on your behalf. To make a request, write to info@tripplanners.co.in. If you are not satisfied with our response, you may complain to the Data Protection Board of India.

Children

We plan travel for families, but we collect children's details only from their parent or guardian, and only to book their travel.

Security

We use reasonable security measures, including encrypted connections (HTTPS) and access limited to the staff who need it. No system is perfectly secure; if a breach affects your data, we will inform you and the authorities as the law requires.
